10 WhatsApp Replies Your Staff Should Never Type by Hand

Every staff member types their own version of the same twenty replies. A reviewed template library keeps every answer fast, accurate, and in the right tone.

Ask three staff members to reply to the same customer message and you will get three different answers: one warm and perfect, one terse, one with the wrong price. Your customers are not rating your business on your best reply. They are rating it on the worst one they received.

Every business runs on a few dozen repeated conversations: hours, prices, location, booking, rescheduling, the review ask. Typing them from scratch every time is slow, inconsistent, and where mistakes creep in. The fix is a small library of reviewed reply templates — written once, used a hundred times a week, personalised before sending.

Why typed-from-scratch replies cost you

  • Errors. A price typed from memory is a price waiting to be wrong. One wrong quote can cost you a dispute or a margin.
  • Inconsistency. Monday's reply is warm and detailed; Saturday's, from a tired junior, is one line. Customers notice.
  • Speed. Typing a good three-sentence reply takes two minutes. Sending a reviewed one takes ten seconds.
  • Tone drift. Without a standard, every staff member invents their own voice — and some of those voices are not yours.

Templates do not make replies robotic. They make the boring parts automatic so the human parts can be human.

The 10 templates every small business needs

1. Opening hours

"Hi! We are open daily 10am to 10pm, including weekends. On public holidays we open 12pm to 8pm — I will confirm for the specific day if you like."

2. The price list

"Here is our current menu — [link or image]. The classic facial is AED 180 and takes 60 minutes. Happy to recommend based on what you need!"

3. Location and parking

"We are in Al Barsha, next to the Lulu Hypermarket — parking is in the basement, free for customers. Here is our location pin: [link]."

4. Booking confirmation

"You are booked! Classic facial, Thursday 4pm, Al Barsha branch. Need to move it? Just reply here and we will sort it — no need to call."

5. Reschedule and cancellation policy

"Of course, we can move it. We just ask for 4 hours' notice so we can offer the slot to someone else. What new time works for you?"

6. Running late (from you to the customer)

"Hi Sara, we are running about 15 minutes behind today — really sorry. Your slot is safe; we will start at 4:15. Coffee is on us when you arrive."

7. After-hours holding message

"Thanks for messaging us! We are closed now and reopen at 10am — send your question here and we will reply first thing in the morning."

8. The review ask

"So glad you loved it! If you have a minute, a Google review would mean a lot to us: [link]. Thank you for choosing us."

9. Post-visit thank you and aftercare

"Thanks for visiting today! Quick aftercare reminder: [one or two lines specific to the service]. Any questions, just reply here."

10. The quote follow-up

"Hi Ahmed, just checking — did you have any questions about the packages I sent? We have slots open Thursday and Friday if you would like to book."

Notice what they share: a greeting, the useful information, and a next step. No template should ever end without one.

Three rules for using templates well

Rule 1: Personalise before sending. A template is a starting point, not a finished message. Add the customer's name and reference what they actually asked about. "Hi Mariam, here is the price for the balayage you asked about" beats a bare price dump every time.

Rule 2: Keep them current. A template library with last year's prices is worse than no library at all. Review every template whenever prices, hours, or policies change — and put one person's name on the job of keeping it updated.

Rule 3: Review translations once, properly. If your customers message in Arabic, Hindi, or Tagalog, get your top templates translated by a native speaker — not a translation app — especially anything with prices or policy in it. One reviewed translation, reused forever.

Where to keep them

The best library is the one staff actually open. WhatsApp Business has built-in quick replies (type "/" and pick). A pinned message in your team group works. A single shared note in your booking system works. Pick one place, put all ten there, and make "check the library first" part of training a new hire.

And when you add an AI assistant to your WhatsApp, guess what it answers from? The same reviewed templates and the same real business information — except it never has an off day, never misremembers a price, and answers at midnight. The library you build for your staff today becomes the brain of your automation tomorrow.

Write the ten this week. Your worst reply will never go out again.
