Before a customer ever messages you, they tap your profile. In those five seconds they decide: does this business look real, organised, and worth my money — or does it look like a number someone set up in a hurry?

Your WhatsApp Business profile is your digital shopfront. Most owners set it up once, half-empty, and never touch it again. One hour of proper setup pays off in every conversation for years.

Fill in every field — they're all working for you

Open your business profile settings and check each one:

  • Business name: your real trading name, spelled exactly as on your signage and Google listing. Consistency builds trust.
  • Category: pick the closest match — Beauty Salon, Medical Clinic, Auto Repair Shop. It tells customers what you are at a glance.
  • Description: your 30-second pitch. Lead with what you do and where: "Ladies' salon in Al Barsha, Dubai — hair colour, facials, nails. Open daily 10am–9pm." Include your area; half your enquiries are really asking "are you near me?"
  • Hours: your real hours, not aspirational ones. Wrong hours online are a top cause of missed calls and annoyed customers.
  • Address: full address plus a landmark — "next to Lulu, basement parking." In Dubai, the landmark matters more than the street name.
  • Email and website: fill them in. Some customers prefer email for invoices and formal quotes.

Your photo and cover are doing silent selling

Your profile photo appears in every chat list, every notification, every forwarded message. Use a clean, readable logo — one that still makes sense at thumbnail size. If you're a personal brand, like a trainer or consultant, a professional headshot outperforms a logo.

Your cover photo is free advertising: your actual premises, your team at work, your best results. Real photos beat stock every time. A customer who sees your real salon before messaging you arrives already half-convinced.

Build a catalogue — your silent salesperson

The catalogue is the most underused feature in WhatsApp Business. Instead of typing your price list for the hundredth time, add your services as catalogue items: name, real price, a photo, a one-line description.

Why it matters: a customer browsing your catalogue at midnight is qualifying themselves. They see the facial is AED 180, the package they want, and photos of the results — before they ever message you. When they do message, the conversation starts at "I'd like to book the classic facial" instead of "how much?"

Keep it honest: real prices, current photos, nothing you can't deliver. A catalogue with "DM for price" on every item defeats the entire purpose.

Write a greeting message that sets expectations

The greeting message fires when a customer messages you for the first time. Most businesses waste it on "Hello, welcome to our business!" — which tells the customer nothing.

Make yours useful: "Hi, thanks for messaging [business name]! We're open daily 10am–9pm. Tell us what you're looking for, or browse our catalogue for services and prices — we usually reply within the hour."

In three lines you've told them when you're open, where to find prices, and when to expect a reply. Expectations set now prevent frustration later.

Write an away message that keeps leads warm

You close at 9pm. Your customers shop at 11pm. The away message bridges that gap: "Thanks for your message! We're closed now and reopen at 10am — we'll reply first thing. If you'd like to book, just tell us the service and your preferred day here, and we'll confirm in the morning."

That last line is the key: give them something to do instead of waiting. A customer who leaves a booking request overnight is a customer you wake up to — not one who went to a competitor.

Quick replies and labels: your team's shared brain

Quick replies are shortcuts for messages you send daily — your address, your price list, your cancellation policy, your booking confirmation. Set them up once and every reply takes seconds instead of minutes. They also keep answers consistent no matter who on your team is replying.

Labels turn your chat list into a pipeline: New Lead, Quoted, Booked, Paid, Follow-up, VIP. One glance tells you exactly where every customer stands. The businesses that "never forget to follow up" don't have better memories — they have labels.

Put your short link and QR code everywhere

WhatsApp gives you a short link and a QR code for your number. This is your universal "talk to us" button. Put it in your Instagram bio, on your Google profile, on receipts, on your shop window, on product packaging, in your email signature. Every placement is another door into the same well-organised chat.

One focused hour: fill every field, upload real photos, build the catalogue, write both messages, create ten quick replies and six labels. Your shopfront is open 24 hours a day — make sure it looks like it.

Stop losing leads to slow replies.
